# How to switch from a paper appointment book to an app as a solo stylist

> A one-week plan for hairdressers and barbers moving off a paper diary: pick the right kind of app, set up services, move clients and future bookings, and keep both in sync.

To switch from a paper appointment book to an app, first decide whether you need a simple appointment book or a full booking platform, then set up your services with prices and durations, enter your regular clients, copy over every future booking, and run paper and app side by side for one week before retiring the diary. Most solo stylists can do it in a few evenings. The steps below keep you from losing a booking along the way.

## Step 1: Decide what kind of app you need

There are two kinds of tools, and picking the wrong one is the most common mistake.

- **Appointment book apps** replace the diary: you enter bookings yourself, keep client notes and see your day and week. Clients still text or call you.
- **Booking platforms** add a page where clients book themselves, plus payments and automatic reminders. Square Appointments, GlossGenius, Vagaro, Fresha and Booksy are in this group. Some charge monthly fees, card processing fees or commission on new clients from their marketplaces ([Costbench](https://costbench.com/best/salon-software-independent-stylists)).

Ask yourself: do my clients want to book online, or do they message me? If they message you, an appointment book is usually enough and simpler to run. Our roundup of [appointment apps for independent stylists](/best/salon-appointment-apps-for-independent-stylists) compares both kinds.

## Step 2: Set up your service menu first

Before entering a single booking, list your services with their usual duration and price: cut, colour, cut and colour, beard trim, and so on. When services carry durations, the app can show realistic gaps in your day, which a paper diary never could. Include buffer time if you need it between clients.

## Step 3: Enter your regular clients

Start with the clients you see most often, not your whole history. For each one, add name, phone number and anything you would normally keep in your head or on the back of a card: colour formula, preferred style, allergies they have told you about, how they like to be contacted. Ten minutes of notes saves a lot of "what did we do last time?".

You can add occasional clients the next time they book.

## Step 4: Copy every future booking

Go through the paper diary from today forward and enter every booking, at least for the next six to eight weeks. Tick each one in the paper book as you go so you know nothing was skipped. This is the step that matters most; a missing booking is a double-booked afternoon.

## Step 5: Run both for one week

For one week, write new bookings in both the app and the diary. At the end of each day, check that they match. By the end of the week you will trust the app, and you will have found any habits (like pencilled tentative bookings) that need a new home.

## Step 6: Retire the paper book, but keep it

Once the week is clean, stop using the diary for new bookings. Keep the old book for your records; it is your history of past appointments.

## Step 7: Use what paper could not do

After a month, look at what the app gives you beyond the diary: your week at a glance, client visit history, and revenue for the month. These numbers help you decide on prices and which days to open.

## Where ChairBook fits

[ChairBook](/app/chairbook) is the iPhone appointment book we make for independent hairdressers, barbers and beauty professionals. You build a service menu with prices and durations, create appointments with day and week views, and keep each client's contact details, visit history and notes together. It shows appointment history and revenue reports, and creates reminder cards you send through your own messaging apps. You can create an appointment or open today's schedule from Home Screen shortcuts.

What it does not do: there is no client-facing online booking, no payments and no automatic SMS. It is iPhone only. It is free to download with limited free use; Pro, for unlimited appointments, is $19.00 monthly, $149.00 yearly or a $399.00 lifetime unlock (US App Store, Nov 2026).
