# How to reduce no-shows as a solo hairstylist or barber

> Practical ways to cut missed appointments in a one-chair business: reminder timing and wording, confirmations, a clear policy, deposits and keeping a short waiting list.

The most effective way to reduce no-shows as a solo stylist is to send every client a reminder a day or two before the appointment and ask them to confirm, backed by a short cancellation policy they have seen in advance. For clients who miss repeatedly, ask for a deposit when they book. You can do all of this from your phone with your normal messaging apps; booking platforms can automate parts of it for a fee.

## 1. Send a reminder for every appointment

Most no-shows are forgotten appointments, not rude clients. A reminder fixes the forgetting.

- **Timing:** one to two days before works for most services. It leaves time to fill the slot if the client cancels. For early morning appointments, the day before is best.
- **Channel:** use whatever the client actually reads: SMS, WhatsApp, Instagram messages.
- **Content:** day, date, time, service, your address and how to reschedule.

Example:

> Hi Sam, a reminder of your cut and colour on Thursday 14 Nov at 10:00 at 12 High Street. Reply YES to confirm, or let me know if you need to move it.

## 2. Ask for a confirmation

A reminder that asks for a reply turns a passive message into a small commitment. If someone has not replied by the evening before, send a short follow-up or call. No reply at all is your early warning.

## 3. Write a short cancellation policy

Two or three sentences are enough: how much notice you need, and what happens if a client misses without notice. Share it when clients first book and put it in your social media bio or booking messages. A policy you never mention will not change behaviour.

## 4. Use deposits for repeat no-shows

You don't need to charge everyone. For clients who have missed before, or for long services such as colour or extensions, ask for a deposit when they book, by bank transfer or a payment link. Booking platforms can automate this: Square Appointments, for example, includes no-show protection on its paid Plus plan ([Costbench](https://costbench.com/best/salon-software-independent-stylists)).

## 5. Keep a short waiting list

Keep a list of clients who asked for an earlier slot. When someone cancels after your reminder, message the list straight away. A cancellation you hear about the day before is often a slot you can still fill.

## 6. Track who misses

Note every no-show and late cancellation against the client. After a few months you will see that a small number of clients cause most of the problem, and you can apply your deposit rule to them only.

## Doing it without any app

All of this works with a paper diary and your phone's messages app: check tomorrow's page each evening and text everyone on it. It takes a few minutes a day. The weak point is remembering to do it every day and retyping the same message each time.

## Where ChairBook fits

[ChairBook](/app/chairbook), the iPhone appointment book we make for independent stylists and barbers, creates a reminder card for an appointment that you send through your own messaging apps, choosing the recipient yourself. The same app keeps your day and week views, each client's visit history and notes (where you can record missed appointments) and your service menu with prices and durations.

ChairBook does not send automatic SMS and does not take deposits or payments. If you want fully automatic reminders or card deposits, a booking platform such as Square Appointments may suit you better; see [ChairBook vs Square Appointments](/compare/chairbook-vs-square-appointments). ChairBook is iPhone only and free to download with limited free use; Pro is $19.00 monthly, $149.00 yearly or a $399.00 lifetime unlock (US App Store, Nov 2026).
